SPF, DKIM and DMARC: the three checks every inbox runs

Since February 2024, Gmail and Yahoo have required bulk senders to authenticate with SPF and DKIM and to publish a DMARC record. Microsoft followed for Outlook, Hotmail and Live from 5 May 2025. These three records are no longer optional niceties — they are the passport your email shows at the border. Here is what each one actually proves.

SPF — who is allowed to send

SPF (Sender Policy Framework) is a DNS record listing the servers and services authorised to send email using your domain. When a message arrives, the receiving server checks whether it came from an IP on that list. If your email service provider is not listed, SPF fails and you look like a forger.

DKIM — proof the message was not tampered with

DKIM (DomainKeys Identified Mail) adds a cryptographic signature to every message, signed with a private key that only you hold. The inbox verifies it against a public key in your DNS. A valid signature proves the email genuinely came from your domain and was not altered in transit.

DMARC — the rulebook that ties it together

How to fix email deliverability: a step-by-step setup

Fixing deliverability is not a single switch. It is a short sequence, and the order matters. Work through these steps and re-test after each one rather than changing everything at once.

  1. Use a real sending domain, not a free inbox. Send from you@yourbusiness.com, never from a gmail.com or yahoo.com address in the From field. Consumer domains cannot be authenticated as bulk senders and are rejected outright.
  2. Publish an SPF record. Add a single TXT record in your DNS listing your email service provider. Avoid multiple SPF records — only one is allowed, and duplicates break the check.
  3. Turn on DKIM signing. Almost every email platform generates the DKIM keys for you; your job is to paste the provided values into DNS and enable signing.
  4. Publish a DMARC record at p=none. Start in monitor mode so nothing is blocked while you read the reports and confirm every legitimate sender is passing.
  5. Add one-click unsubscribe. Gmail, Yahoo and Outlook now require a visible, single-click opt-out for bulk mail. A buried unsubscribe link drives complaints, which is the fastest way to get filtered.
  6. Warm up a new domain slowly. Do not blast 50,000 emails from a domain that sent zero yesterday. Ramp volume over two to four weeks so providers build a reputation for you gradually.

Inbox placement by provider: who is hardest to reach

Not all inboxes judge you the same way. DMARC is not a single setting — it is a dial with three positions, and knowing when to turn it up is what separates a protected domain from an exposed one. The policy is set with one tag in your DMARC record: p=.

Start at none, then climb. Run p=none for 30 to 90 days so the aggregate reports show you every service sending mail in your name — you will almost always find a forgotten tool or two. Once every legitimate source passes, move to p=quarantine to send failures to spam, then to p=reject, the right long-term policy for an active domain. Reject is what actually stops criminals from spoofing your brand, because quarantine still lets a spoofed message sit somewhere in the mailbox.

Staying on p=none forever is the most common mistake. It gives you reports but zero protection — the digital equivalent of installing a CCTV camera and never turning it on.

List hygiene and sender reputation: the mistakes that get you filtered

Authentication gets you to the door. Reputation decides whether you are welcomed back. Even a perfectly authenticated domain will slide into spam if the behaviour behind it is sloppy. These are the habits that quietly wreck deliverability:

  • Ignoring the complaint rate. Google wants you below 0.1% spam complaints and starts enforcing at 0.3%. That is three complaints per thousand — a low bar that a misleading subject line can breach in one send.
  • Mailing dead addresses. High bounce rates signal a purchased or stale list. Remove hard bounces immediately and re-verify old lists before you import them.
  • Never re-engaging or pruning. Subscribers who have not opened in six months drag your engagement score down. Run a win-back sequence, then remove the silent ones.
  • Switching From-addresses constantly. Reputation is built on a consistent sending domain. Rotating addresses to dodge filters is exactly what spammers do — and providers know it.
  • Buying lists. No authentication setup survives a bought list. Complaints spike, spam traps fire, and your domain reputation can take months to recover.
